They use different versions of your service description. Each output sounds plausible, but the reply and task record now contain different promises.</span></div><div><br/></div><div><span style="font-size:15px;">A colleague has to stop the work, decide which record the business trusts, correct the source and test both routes. Fixing the two outputs leaves the conflict in place for the next enquiry.</span></div><div><br/></div><div><span style="font-size:15px;">GR Consulting Services saw a version of this maintenance problem in our own AI workspace: an improvement in one maintained area could leave a related instruction or copy behind. This is an internal observation. Use the least complex route that meets the need.</div><div><br/></div><div><div>OpenAI's implementation guide defines agents as systems that complete tasks on a user's behalf with some independence, using a model, tools and instructions. The guide also recommends starting with one agent where possible because extra orchestration adds complexity and maintenance. NIST also calls for clear roles, inventories, periodic review, monitoring and decommissioning. Ask how much time the owner can give each month to source updates, failed cases, instruction changes and testing. Include cover for holidays and staff changes. Then test each connected route with the same case. This method turns one correction into a controlled change instead of a series of local edits.</div><div><br/></div><div>Keep permissions as narrow as the role allows. Reading an approved service record presents a different risk from sending a message, changing a customer record or making a payment. Proofreading an answer after the system has made an unsupported commitment does not provide meaningful control.</div><div><br/></div><div><div>The UK Government AI Playbook links human involvement to the complexity and effect of the output. The ICO also requires organisations to consider transparency, accountability, context and effects on people when AI supports decisions that use personal data. Legal duties depend on the use case, sector and data. Examples include one released message with an invented commitment, any client-boundary breach, a source failure or an exception rate above the team's planned capacity. The owner then stops the affected route, uses the manual fallback and investigates the cause.</span></div><div><br/></div><div><div><span style="font-size:15px;">NIST's AI Risk Management Framework treats monitoring as lifecycle work. Its 2026 report says teams need post-deployment monitoring to check performance in real settings and identify unforeseen outputs or consequences. There is a child in all of us and as much as we would like to, it sometimes cannot be controlled, any parent will tell you that.</div><div><br/></div><div style="color:inherit;"><u><b><span style="font-size:20px;">Be and think like a Mentor, not a Manager</span></b></u><span style="font-size:20px;"><br/></span></div><div><br/></div><div style="color:inherit;">Most people can <i>manage</i> just fine, without the need of another person doing it for them. Heck, we do it every day in our personal lives. This is why I don't like to use the word <i>Manager</i> when referring to positions that involve a certain degree of mana* over others. One should see themselves as a Mentor instead, which gives it a completely&nbsp;different angle. When you see yourself as a Mentor and not a Manager, you become equally responsible for the other person's success and are immediately removed from a feeling of having to assert yourself.&nbsp;</div><div><br/></div><div style="color:inherit;"><u><b><span style="font-size:20px;">What is a Mentor?</span></b></u><span style="font-size:20px;"><br/></span></div><div><br/></div><div style="color:inherit;">A Mentor is a person who helps, supports, advises and guides someone. They take the time to get to know you and the challenges you're facing. They will then&nbsp;use their understanding and&nbsp;personal experience to help with your development. What does it mean to be a good mentor?<br/></div><div><br/></div><div style="color:inherit;">Mentors are:</div><ul style="color:inherit;"><li style="text-align:left;">Good listener<br/></li><li style="text-align:left;">Ask questions<br/></li><li style="text-align:left;">Empathetic<br/></li><li style="text-align:left;">Encouraging<br/></li><li style="text-align:left;">Self-aware<br/></li><li style="text-align:left;">Personable<br/></li><li style="text-align:left;">Honest<br/></li></ul><div><br/></div><div style="color:inherit;">Without implying that managers will never have the above mentioned traits, you can see how this is very different to the <i>traditional role</i> of a Manger. Mentors bring the benefit of a more personal approach that is better geared to building trust.</div><div><br/></div><div style="color:inherit;"><u><b><span style="font-size:20px;">Micro managing</span></b></u><span style="font-size:20px;"><br/></span></div><div><br/></div><div style="color:inherit;">We can probably all agree that micro-managing is not the way to go, if you want to build trust. The only reason it would be necessary to micro-manage somebody is that they are not exactly sure what is expected of them and in turn making them unsure of their actions. Micro-managing conveys wrong-doing to the person being micro-managed, which can knock their confidence to doing a great job.<br/></div><div><br/></div><div style="color:inherit;">Always make sure that people know what is expected of them. If you don't, you are automatically setting someone up for failure.<br/></div><div><br/></div><div style="color:inherit;"><b><u><span style="font-size:20px;">Empower</span></u></b><span><span style="font-size:20px;"><br/></span></span></div><div><br/></div><div style="color:inherit;">Empowering employees is a great way of building trust. If you are giving someone the freedom to take decisions in their role (and on behalf of the company) it can only be beneficial for both.
