How to Choose an AI Model Without Wasting Time or Tokens

AI providers offer model menus that differ by capability, speed, context, tools and price. For a business, the useful question is which available option can complete a defined task to the required standard at the lowest total cost.

Total cost includes the model, staff review, corrections, delay and failures. A low token price can lose its advantage when somebody must repair the output. A premium model can waste money and capacity when the task needs simple, checkable processing.

You need a task definition, a quality threshold and evidence from your own work.

Separate the Platform, Model and Tool

Teams often use tool, platform and model as if they mean the same thing.

They affect different parts of the decision:

Platform: the application or service your team uses, including access controls, data handling, integrations and subscription limits.
Model: the system that processes the request, with a particular mix of capability, speed, context and price.
Tool: an added capability such as web search, code execution, file retrieval or image analysis.

A strong text model without current search cannot verify today's information. A model with a large context window may still fail if you fill that window with stale or conflicting material. A cheap model inside an unsuitable platform may create a data-handling problem.

Choose the operating environment first. Choose the model route for the task inside that environment.

Define the Result Before Comparing Models

Model selection fails when the test uses a vague instruction such as write a good summary.

Define the output in terms a reviewer can score.

For meeting actions, the criteria could be:

capture each action stated in the approved transcript;
preserve the named owner and date;
mark missing owners or dates as `not stated`;
invent no commitments;
return the agreed table structure.

Set a pass mark. For example, the output must capture all stated actions, invent no facts and follow the structure in at least nine of ten representative cases. The acceptable threshold depends on the task and the consequence of an error.

Use the threshold to compare options on work rather than reputation.

The Five-Question Task-to-Model Check

1. Which capability does the task require?

List the non-negotiable features:

input types, such as text, image, audio or video;
context size and document handling;
current web research;
structured output or tool use;
language or regional requirements.

Remove any option that lacks a required feature. A low price cannot compensate for a missing capability.

Compare official provider catalogues to see these differences. OpenAI lists supported features, context and price by model. Google separates models by reasoning, latency, modality and release status. Those pages change, so check them when you make the decision rather than copying an old comparison table.

2. How much judgement does the task need?

Routine processing follows stated information and a stable structure. Examples include extraction, formatting and classification against known categories.

Judgement-heavy work asks the model to resolve ambiguity, compare evidence, plan across constraints or explain an unfamiliar problem. Those tasks tend to benefit from stronger reasoning and more time.

Some jobs contain both. Route the routine part through a lower-cost model, then escalate conflicts or low-confidence cases to a stronger model or a person.

3. What happens if the answer is wrong?

Match the workflow to the consequence of an error.

A rough internal headline draft is reversible. A client commitment, tax treatment, employment decision, medical conclusion or regulated recommendation carries a different exposure.

For higher-consequence work, add approved sources, qualified review, evidence checks and sign-off. Some uses remain unsuitable for unsupervised AI support.

4. How often will the task run?

At high volume, small differences create material cost.

For API work, estimate:

Monthly model cost =
runs * ((input tokens * input rate) + (output tokens * output rate))
/ 1,000,000
+ tool and storage charges

Then add staff time:

Monthly review cost =
runs * average review minutes / 60 * staff cost per hour

Use current rates from the relevant provider. OpenAI and Google list separate input, output, caching and tool charges across their model families. Some platforms also offer effort controls, batch processing or service tiers that can change the cost and speed trade-off without requiring a different model. Subscription users should track usage limits, waiting time and staff capacity instead of assigning each chat an invented unit price.

5. Can you check the result?

If a reviewer can check routine output without repeating the work, you may be able to use a cheaper option.

Useful checks include:

exact-field comparison against a source;
schema or format validation;
calculation tests;
citations that a person opens and checks;
approval by a named person who knows the subject.

A subjective output needs a rubric and a named, capable reviewer. Record correction time as part of the model's total cost. A task with no credible review route needs redesign before automation.

Four Practical Routes

Route 1: Routine, clear and checkable

Examples: extract stated fields, reformat approved copy, classify familiar documents or draft from a fixed pattern.

Start by testing a faster, lower-cost model that supports the required inputs and format. Add automatic validation where possible. Escalate missing fields, conflicts or format failures.

Route 2: Ambiguous or synthesis-heavy

Examples: compare conflicting reports, plan a multi-step process or combine several sources into a recommendation.

Test a more capable reasoning model. Require source references and make assumptions visible. Give a person responsibility for the decision.

Route 3: Tool-dependent or current

Examples: research current regulations, inspect a codebase, analyse a spreadsheet or work with images and audio.

Choose the required tool and data access before comparing general model capability. Check whether the provider charges for search, storage, code execution or other tools.

Route 4: Higher consequence

Examples: material financial decisions, legal interpretation, employment action or client commitments.

Use approved systems and qualified human oversight. Limit the model's role to a defined support task, preserve the evidence and require sign-off. The workflow may need stronger governance than a model comparison can provide.

Test Ten Real Examples

Provider benchmarks describe broad capability. Your workflow still needs a local test.

Choose ten examples that represent the work:

six normal cases;
two awkward cases;
two cases that should trigger a question, refusal or escalation.

Run each suitable model with the same instruction and source material. Score:

Measure	Question

Requirement coverage	Did it follow each stated rule?
Unsupported content	Did it invent facts, owners, dates or sources?
Edge-case handling	Did it flag ambiguity and exceptions?
Review effort	How many minutes did a person need?

Anthropic's current model-selection guidance recommends this use-case testing approach: benchmark with your prompts and data, compare accuracy and edge cases, then weigh performance against cost.

Keep the test set. Re-run it when a provider changes a model, you change the prompt or the task changes.

Use a Baseline and an Escalation Route

For a repeated API workflow, start with a capable model to establish the quality baseline. Test lower-cost candidates against that baseline and the human-reviewed answers. Select the cheapest candidate that reaches the pass mark. This follows current OpenAI guidance to optimise accuracy first, then cost and latency while preserving the accuracy target.

Give exceptions a separate route.

A practical routing pattern can send routine cases to the standard model and escalate when:

required information is missing;
sources conflict;
the output fails validation;
the task falls into a higher-consequence category;
a reviewer rejects the first result.

This arrangement gives the business cost control without hiding exceptions.

Where Model Choice Falls Short

Problems requiring workflow or governance changes include:

a vague job;
poor or stale source material;
an unsuitable data-handling arrangement;
missing ownership;
absent review;
a broken workflow.

Treat model choice as one control within that wider workflow.

Test One Repeated Task

Choose one repeated, low-risk task.

Define a good result and create ten representative examples. Compare two suitable options using the same inputs. Record accuracy, edge-case failures, review minutes, response time and direct cost.

Use the lower-cost option only when it meets the threshold. Keep a clear route for exceptions and review the choice when the task or provider changes.

A longer AI prompt can be useful when the work is complex. It can also hide the job inside repeated context, conflicting rules and examples that add no new information.

Prompt quality does not come from word count. It comes from giving the model the right job, the context that changes the answer, clear constraints, a defined output and a visible review point.

That distinction matters for small businesses. A vague or cluttered request creates more than an imperfect answer. It can also create extra writing, checking, correction and disagreement about what the AI was asked to do.

The Real Input Problem

People often describe poor AI input as a bad prompt. That phrase can make the problem sound like a writing trick.

The business problem usually starts earlier.

You may not have decided:

which job the AI should complete;
which source contains the approved facts;
which details affect the answer;
which rules the output must follow;
what a useful result looks like;
who will review it before use.

No prompt formula can replace those decisions.

Clear prompting begins with clear work.

Long, Short or Complete?

Short prompts can fail because they omit the information needed to do the job.

For example:

| Write a client update about the project.

The request does not identify the source, audience, status, length, tone, boundaries or review point.

A long prompt can fail for a different reason. It may repeat the background, mix old and current instructions or bury the output requirement near the end.

The useful question is:

| Does this detail change the task, the answer or the review?

Keep it when the answer is yes.

Remove it, summarise it or move it into a maintained source when the answer is no.

OpenAI's current prompt-engineering guidance recommends relevant context and precise instructions. It also notes that models work within finite context windows. Five Parts of a Clear AI Request

1. Job

State the action in one sentence.

Examples:

draft a client update;
extract agreed actions from approved minutes;
compare three supplier proposals against named criteria;
turn a public report into a management briefing.

One request can contain several steps, but the overall job should remain clear.

2. Essential Context

Include the facts and sources that change the answer.

For a client update, that may include:

the approved project notes;
the agreed status and next milestone;
the intended recipients;
the current approval state.

Avoid copying the full history of the account when only the latest approved status matters.

3. Constraints

Name the rules, limits and exclusions.

Examples include:

maximum 180 words;
use British English;
do not invent owners, dates or decisions;
do not treat proposals as approved;
use only the supplied sources;
flag missing information.

Constraints protect meaning. A normaliser must preserve them.

4. Required Output

Describe the result you need.

Ask for the format, length and sections that make review easier. A clear output could be:

a subject line and email draft;
a table with supplier, evidence, risk and open question columns;
a summary followed by decisions and actions;
a three-option recommendation with assumptions shown.

Do not ask for structure that adds no value. The output format should help somebody use or check the work.

5. Human Review

Name what a person must verify.

For a client update, that may include:

dates and status;
commitments and approval language;
recipients;
confidential information;
missing owners or dependencies.

The AI can prepare the draft. A named person remains responsible for its use.

What to Keep and What to Cut

Keep:

the job to be done;
approved facts that change the answer;
constraints and exclusions;
the required format or length;
the human review point.

Cut, summarise or move elsewhere:

repeated background;
conflicting old instructions;
examples that add no new rule;
history unrelated to the current task;
personal preferences that do not affect the result.

Do not cut context merely to make the prompt look concise. A short prompt that omits a decision boundary is worse than a longer prompt that keeps it explicit.

Before and After

Messy request:

| Can you write the client update from the project notes? We normally keep these fairly short, although the last one was longer because the implementation had changed, and I want it to sound confident but not too confident because approval is still pending. Mention the launch date we agreed. We have discussed the owner a few times but I do not think it was confirmed. Do not make it sound like everything is final. A short email would be good, perhaps about 180 words, and flag anything I need to check.

Normalised brief:

Job:

Draft a client project update.

Essential context:

Use the approved project notes.
Include the agreed launch date.
Approval remains pending.

Constraints:

Maximum 180 words.
Use a calm, confident tone.
Do not present pending work as final.
Do not invent an owner.

Required output:

Subject line.
Client email draft.
A short "Needs review" list after the draft.

Human review:

Confirm the launch date, approval wording, owner and recipients before sending.

The normalised version is shorter because it removes repetition. It remains useful because it preserves the facts and boundaries.

One Way We Use the Method

A preparation step can organise a rough thought before an AI tool completes the job.

Rules:

Preserve named facts, numbers, dates, sources and decision boundaries.
Remove repetition and background that does not change the task.
Do not add facts, decisions, permissions or commitments.
Do not resolve conflicting instructions silently.
If important information is missing or conflicts, list the issue under "Questions before use".
Keep the result concise, but do not remove information needed for safe review.

Request:

[paste or dictate the request]

Check the normalised result against the original before using it.

How to Test the Result

Use three checks.

Meaning Check

Confirm that the result preserves:

named facts and figures;

deadlines;

source limits;

approval status;

exclusions;

review requirements.

Conflict Check

Confirm that it has not hidden or guessed through conflicting instructions.

For example, keep it under 100 words and include the full ten-point history may need a decision. A good normaliser should flag the conflict.

Usefulness Check

Ask whether a colleague could understand the task and review the output without reconstructing your original train of thought.

If not, the brief may be short but incomplete.

Where Prompt Injection Fits

Prompt injection is a separate but related risk.

Prompt injection uses instructions embedded in content to manipulate an AI system. The risk increases when a tool can browse websites, access records or trigger actions.

The UK NCSC has warned organisations to use caution when building services on large language models whose outputs can influence actions or access external data.

Require a defined review point before AI output drives a business action involving external content, sensitive data or system access.

This week's pattern limits AI to drafts, summaries and checklists, with a person reviewing the result.

A 60-Second Team Check

Before using AI for a task, ask:

Is this the right tool for the information involved?
Is the task narrow enough to check?
Have we removed unnecessary sensitive detail?
Does the instruction say what the AI must not do?
Does a named person approve any decision, message, stored record or system update?

If any answer is unclear, pause.

A short pause helps the business contain risk while staff experiment with useful tools.

Cost and Efficiency

For API work, input tokens are normally billed at model-specific rates. Unnecessary repeated text can therefore add direct cost when the same request runs at scale.

Most SMEs should also measure the less visible costs:

time spent composing the request;
time spent finding scattered context;
corrections caused by missing or conflicting instructions;
review time;
inconsistent versions used by different people.

Do not claim savings until you measure them.

For five suitable tasks, record the time spent preparing the request, reviewing the output and correcting it. Then test the five-part structure on another five comparable tasks.

Compare:

preparation time;
number of clarification rounds;
corrections;
missing facts or boundaries;
reviewer confidence.

That small test will tell you more than a general claim that shorter prompts save time.

When the Problem Is Not the Prompt

Prompt editing will not fix:

missing approved source material;
stale client or project information;
unclear ownership;
conflicting business rules;
a task that nobody has defined;
sensitive information placed in an unsuitable tool;
a workflow with no review point.

Those are process, data or governance problems.

Reduce it to:

job;

If a prompt is useful more than once, the next step is usually not a complex automation project. It is a reusable assistant with clear instructions, boundaries and a human review point.

For a founder-led SME, that can be a practical middle ground: more consistent than rewriting the same prompt each week, but simpler and safer than connecting AI into every system around the task.

Start with the Repeated Job

In the first week of this series, we started with one useful task: use an approved meeting transcript to produce a summary, decisions, action items, open questions and a draft follow-up email.

In the second week, we looked at the wider workflow around that answer: review, filing, task updates, record-keeping and follow-up.

This week sits between those two points.

Before you connect the whole workflow, ask whether the useful prompt has become a repeated job.

If it has, stop relying on memory.

A reusable assistant should make the method easy to run again, without turning it into an uncontrolled system.

What a Reusable Assistant Actually Is

A reusable assistant is a maintained instruction set for a repeated task.

Depending on the tool, it might be called a Gem, skill, Project, Space, saved prompt or custom instruction. The product labels differ, but the design problem is similar:

define the role;
define the task;
define the input;
define the output format;
define what to do with uncertainty;
define the boundaries;
define the human review point.

The aim is not to make the assistant sound clever.

The aim is to make the useful method easier to repeat and easier to check.

Keep the Method Separate from Maintained Context

A reusable assistant preserves how you want a task completed. Workspace memory supplies approved, current context about the business.

Treat these as separate layers. Mixing them too early can introduce stale, excessive or misplaced information, especially when your team works across several clients.

Prove the method first. Then decide which maintained context the task needs, who owns it and how your team will keep client information separate.

The Meeting Follow-Up Example

For the meeting follow-up task, a Lite assistant should have a narrow job.

It may help turn an approved transcript into:

A concise meeting summary.
Decisions made.
Action items with owner and due date, where stated.
Open questions or unresolved points.
A short draft follow-up email.

It should also make the review rules obvious:

do not invent missing facts;
write not stated where the transcript does not provide an owner or date;
flag unclear names, dates or commitments;
distinguish confirmed decisions from ideas under discussion;
keep the follow-up email as a draft until a person approves it.

That is enough to make the task more consistent.

It is not enough to make it a complete business workflow.

What the Lite Assistant Must Not Do

The boundary matters.

The reusable assistant is not better because it is more advanced.

It is better when the repeated task needs consistency.

One Method, Several Tools

The same method can be adapted to different tools, but the setup should be checked against current product guidance before publication or rollout.

At the time of preparing this pack:

Google describes custom Gems as reusable Gemini instructions built around goals, desired behaviours and format, with guidance to think in terms of persona, task, context and format.
Claude Projects can be used as a place to keep project-specific chats, knowledge and instructions where available on the relevant plan.
Perplexity Spaces are generally better treated as research-oriented spaces rather than a universal workflow engine.
Codex skills are useful where repeatable instructions need to operate around local files and workspace behaviour, but they are not the right public default for every non-technical business user.
A saved prompt in a trusted note or internal prompt library may be sufficient for many SMEs.

The important point is not the label.

The important point is that the assistant has a clear job and a clear review boundary.

How to Build the First Version

Use this simple sequence:

Choose one repeated task.
Write the task in plain English.
Define the input the assistant needs.
Specify the output sections.
Add uncertainty rules.
Add hard boundaries.
Add the human review checklist.
Test on one low-risk example.
Adjust the instruction before wider use.

For meeting follow-up, the first test should use a short, low-risk internal transcript that is appropriate for the chosen tool.

Do not start with a confidential client meeting, a HR issue, a legal dispute or anything where an error would carry significant consequence.

What to Check in the Output

Review the assistant's first few outputs against the transcript.

Check:

Are decisions separated from discussion?
Are owners and dates supported by the transcript?
Are missing details labelled as not stated ?
Are unclear names or commitments flagged?
Is the draft email accurate and appropriately cautious?
Has the assistant introduced any new promise, deadline or commitment?
Is the output easier to review than the old prompt?

If the answer is not easier to review, improve the instruction before using the assistant again.

Common Mistakes to Avoid

Turning the Assistant into a Vague Chatbot

If the assistant can do anything, it will be harder to test and maintain. Start with one job.

Adding Too Much Context Too Soon

More context is not automatically better. Add only what the task needs and only what is suitable for the tool.

Hiding the Review Step

The review step is part of the method. Make it visible in the instruction and in the output.

Treating Tool Features as Identical

Different tools handle files, memory, collaboration, citations and saved instructions differently. Check current product guidance before publishing setup instructions.

Automating Before the Method Is Stable

If the saved assistant still produces inconsistent results, connecting it to other systems will spread the inconsistency.

The Sensible Next Step

If a prompt works once, save it.

If it works repeatedly, turn it into a reusable assistant with role, task, input, output, uncertainty rules, boundaries and review.

If the wider handling around that assistant is frequent, manual and easy to miss, then map the workflow before deciding what to connect.

That progression keeps the work practical:

One useful task.
A repeatable method.
Better context.
A connected workflow.
Controlled automation.

AI can turn a meeting transcript into a useful summary, decisions, actions and a draft follow-up email. For an occasional, low-risk meeting, that simple method may be all you need.

The wider opportunity appears when you look at what still happens after the answer is produced: checking it, storing the approved record, updating tasks, resolving missing information and preparing the right follow-up for the right people.

The first draft is a task. The complete chain is a workflow.

"But I Can Already Do That"

When we demonstrated a meeting-minute workflow, one of the first reactions was effectively:

I can already paste a transcript into AI, ask for the minutes and copy the result into an email.

That observation is correct.

It is also a useful test of whether an AI project is solving a real problem or adding unnecessary complexity.

If the meeting is occasional, the information is straightforward and one person can review and handle the output quickly, a basic prompt may be the commercially sensible option. A larger system should not be built simply because it is possible.

The next question is more revealing:

What still happens manually after the AI gives me the answer?

That is where repeated handling, inconsistent records and missed actions often become visible.

Task Completion versus Workflow Completion

The visible task is easy to describe:

Provide an approved transcript.
Ask for a summary, decisions, actions and a draft email.
Receive the answer.

The wider workflow may include:

Confirm that the transcript is appropriate to process.
Apply consistent instructions.
Review names, dates, decisions and commitments.
Resolve unclear or missing information.
Store the approved meeting record in the correct place.
Add agreed actions to the system where work is managed.
Update the relevant project or client record.

The AI answer completes part of that chain. It does not automatically complete every operational step around it.

The point is not that the basic prompt is poor. It is that each level solves a different amount of the problem.

Small steps can be easy to ignore because each one takes only a short time.

You copy an action into a task list. You rename and save the minutes. You check the spelling of a participant's name. You find the project folder. You open the email thread. You work out whether a tentative idea was actually approved.

None of those steps is dramatic.

Together, they can create:

repeated administration;
inconsistent meeting records;
actions that never reach the task system;
unclear ownership;
duplicated or outdated versions;
follow-up messages that add commitments nobody made;
dependence on one person's memory.

The value of a better workflow is therefore not limited to faster writing. It may also improve consistency, visibility and follow-through.

Those benefits should be tested rather than assumed.

Measure the Current Process First

Before changing the workflow, observe how it currently works.

For three suitable meetings, record:

the time spent preparing the transcript;
the time spent producing and reviewing the minutes;
the number of actions transferred elsewhere;
the time spent filing, updating tasks and drafting follow-up;
the number of missing owners, dates or unclear decisions;
any corrections made after the record was shared;
which steps depended on somebody remembering to do them.

This creates a baseline.

Without it, claims about time saved or errors reduced are guesses.

The goal is not to make every step faster. Some review steps are valuable precisely because they slow the process down long enough to catch a mistake.

Keep Human Judgement Visible

A connected workflow should not quietly turn uncertain text into a business commitment.

Human review is particularly important where the output may:

create or assign work;
update a client or project record;
introduce a deadline;
confirm a commercial commitment;
expose confidential information;
send a message to an external participant.

A good workflow makes uncertainty easier to see.

For example:

an absent owner remains not stated ;
a tentative date is labelled as tentative;
an unclear name is flagged;
a proposed action is not presented as an agreed action;
a draft email remains a draft until somebody approves it.

The purpose of the system is not to remove judgement. It is to give judgement a clearer place to operate.

When a Basic Prompt Is Enough

Stay with the simple method when:

the task happens infrequently;
the meeting is low risk;
one person owns the full process;
the output is quick to check;
copying and filing take little additional effort;
errors are likely to be spotted before they matter.

There is no prize for building the most complicated solution.

A saved prompt, a consistent review checklist and a clear filing habit may be the right answer.

When the Wider Workflow Deserves Attention

Map the process in more detail when:

the same handling happens several times each week;
actions are regularly copied into more than one system;
several people review, file or distribute the output;
client or project records must remain consistent;
missing actions or deadlines create real operational cost;
the process depends heavily on one person's memory;
there is no clear record of what was reviewed and approved.

These are signs that the opportunity may sit beyond the first AI-generated draft.

They do not automatically mean full automation is appropriate. The next step may be standardised instructions, a reusable assistant, a clearer record structure or one controlled connection between existing systems.

Map One Workflow in Six Steps

Choose one repeated process and write down:

Input: what starts the process?
Draft: what does AI produce?
Review: who checks it, and against what?
Record: where does the approved version belong?
Action: which tasks, systems or people must be updated?
Follow-up: what is communicated, by whom and after which approval?

Then:

write an owner beneath each step;
circle each manual copy-and-paste;
mark every place information can be lost;
mark every point where an error could reach another person or record;
identify which step creates the most repeated handling;
improve one part before connecting the whole chain.

This is workflow planning in plain English.

The Sensible Next Step

Start with the basic prompt. Prove that the output is useful. Review it carefully.

Then look beyond the answer:

If the surrounding checking, copying, filing and updating are simple, keep the method simple.
If they are frequent, inconsistent or easy to miss, map the workflow before buying tools or building an agent.
The real opportunity may not be teaching AI to write better minutes. It may be helping the agreed work reach the right people and systems reliably, with a clear human decision point.

You do not need an AI agent or a large automation project to make a useful start with AI. One of the simplest experiments is to turn an approved meeting transcript into a concise summary, clear decisions, action items and a draft follow-up email.

It is a good starting point because the input is clear, the output is familiar and a person can review it before anything happens.

Start With a Meeting You Already Have

Most founders and directors do not need another demonstration of AI producing impressive text. They need help with work that already takes time.

Meeting follow-up is a practical example.

The meeting happens. Notes are scattered. Somebody has to remember which points became decisions, identify the actions, check who owns them and write the email. By Friday afternoon, the details may already be less clear than they were in the room.

A transcript gives an AI tool a defined source. A structured request gives it a defined job.

The result should still be treated as a draft, but it can give you a stronger place to begin.

Step 1: Obtain An Approved Transcript

Use a recording or transcription option that fits your organisation's policies and the meeting context. This may already be available through your phone, meeting platform or Microsoft 365 setup.

Before recording or uploading anything:

tell participants and obtain any permission your organisation requires;
consider whether the meeting contains confidential, personal or client information;
check where the recording and transcript will be stored;
check how the transcription and AI providers handle submitted data;
avoid uploading material that your policies do not permit the tool to process.

Do not assume that a convenient recording feature is automatically appropriate for every meeting.

Step 2: Ask For Defined Outputs

Avoid asking only for "meeting minutes". That phrase can produce anything from a short paragraph to a detailed chronological account.

Instead, define the outputs:

A concise meeting summary.
Decisions made.
Action items with owner and due date.
Open questions or unresolved points.
A short draft follow-up email.
This structure makes the result easier to review and use.

It also helps separate decisions from discussion. A suggestion such as "we could launch in July" should not quietly become "the launch is scheduled for July".

Step 3: Add Rules for Missing Information

Transcripts are imperfect. Names may be wrong, speakers may be confused and important details may never have been stated.

Tell the tool what to do when information is missing:

do not invent facts;
write not stated when an owner or date is absent;
flag unclear names, dates and commitments;
distinguish confirmed decisions from ideas under discussion;

This does not guarantee accuracy. It gives the tool a clearer standard and makes gaps more visible to the reviewer.

This prompt is intentionally simple. It can be used as a starting pattern in a suitable general chat tool. The product matters less than the clarity of the task, the suitability of the data and the quality of the review.

Step 4: Review the Draft

The human review is part of the workflow, not an optional final glance.

Check:

Are participant names and roles correct?
Does each decision reflect what was actually agreed?
Are tentative suggestions labelled as such?
Are action owners and dates supported by the transcript?
Has confidential or irrelevant discussion been excluded where appropriate?
Does the email introduce any promise that was not made?
Is anything important missing because the transcript was unclear?

Where the consequence of an error is higher, the review should be stronger.

Common Mistakes to Avoid

Uploading a Transcript Without Checking the Data

The first question is not "can the tool summarise this?" It is "should this material be uploaded to this tool under our policies and agreements?"

Allowing the Tool to Fill Gaps

An empty owner or due date is useful information. It tells you what still needs clarification.

Sending the Email Without Review

The draft may sound polished while containing a wrong name, an invented commitment or an overconfident interpretation.

Treating the First Result as a Complete Workflow

The prompt completes the visible drafting task. You may still need to approve the record, update tasks, store the minutes correctly and send the right message to the right people.

That wider handling is where later workflow improvements may create additional value. It does not make the simple prompt a bad starting point.

What a Good First Experiment Looks Like

Choose a low-risk internal meeting with a short, clear transcript.

Run the prompt. Review the result. Note:

how long the manual process normally takes;
how long the AI-assisted version takes, including review;
which errors or omissions appeared;
which instructions improved the second attempt;
whether the task happens often enough to justify a reusable assistant.

The goal is not to prove that AI is impressive. It is to find out whether it improves a real piece of work without creating unacceptable risk or more administration.

The Sensible Next Step

If the method works once, save the approved prompt and review checklist. If it works repeatedly, consider packaging the instructions into a reusable assistant so the format and rules do not have to be rebuilt every time.

Only after the manual process is understood should you consider connecting it to task systems, records, email drafting or controlled automation.
